Backup data from your D-E Google Account

Important Dates --

  •  During the first week of July.. - You will officially become Alumni in the My DE  system. At this point your student email will no longer be available. There is no way to forward emails received after July 1.

How to --

A. Download/Transfer all of your Google data using Google Takeout

The easiest way to download of all of your data and mail is to use Google's Takeout service. 
  1. Go to: https://takeout.google.com/settings/takeout
  2. Sign in with your D-E account
  3. Select which Google data you want to download
  4. Customize archive: It is suggested to leave the default options intact. 

Google also offers a Takeout Transfer service which will transfer Mail and Drive data from your D-E account to another Google account. You may want to create a new Google account to store this data so that the transferred e-mails and Drive data does not get mixed in with your pre-existing data. 

  1. Go to: https://takeout.google.com/transfer?pli=1
  2. Sign in with your D-E account
  3. Enter target Google account
  4. Verify the transfer by entering the code sent to your target account's email
  5. You now have the option to transfer your emails and/or Drive data. It may not be possible to transfer both if the total amount of data exceeds 15 GB. If this is the case, use the traditional Takeout service above to download your data.
  6. Once you start the transfer, data will begin to appear in your target account. This may take up to a week but for most users will take less than 2 days.
Please note: after the transfer has completed, future emails will not be transferred. Anything sent to your D-E address after July 1 will be inaccessible. There is no way to forward future emails.

The two services described above are the most straightforward and easy to use solutions. The guides below are outdated and are not guaranteed to work properly.

Copy contacts from your student account to a personal gMail account (this can be accomplished with Google Takeout, see above)

A. Export from DEmail:

  1. Login to your DEmail account and select "Contacts" (where it says Mail under the DE logo).
  2. Click the More button near the top of the screen and select Export.
  3. Select All Contacts (or a particular group if you don't want all of them).
  4. Select Google CSV format. (If you are moving the contacts to something other than a Google account, you might want one of the other options.)
  5. Click the blue Export button.
  6. After a few seconds you will be asked to select location of file name for the exported file. Save it some where you can find it again.

B. Import to your personal gMail account: 

  1. Login to your personal account and select "Contacts".
  2. Click the More button near the top of the screen and select Import.
  3. Click Choose File to browse to the file you exported in the steps above.  (If you didn't change the name it is probably google.csv.)
  4. Click the blue Import button.
  5. In addition to the groups you had in your old account, there will be a new group called "Imported data" where date is today. This group contains only the contacts you just imported.
  6. Importing contact data into other email systems will be slightly different, but the concept is the same. 

 

Copy email from your student account to your personal email account (see Takeout service above)

If the reason you want to copy mail is to preserve email addresses, you might just want to transfer your contacts as described above.

 

Option 1: Forwarding

The easiest thing to do if you don't have too many messages to keep is to forward them to your new account.  Note that the date and sender will be changed to the current date and your username respectively.


Option 2: POP

Here is the general idea for a gmail account. Other services will have slightly different steps:

  • Enable POP for All Mail in your d-e.org account under Settings > Forwarding and POP/IMAP
  • Login to your personal gmail account and go to Settings > Accounts.
  • Use the option Add a POP3 mail account you own with these settings:
    • Username: yourUserName@d-e.org 
    • Password: your D-E password 
    • POP server: pop.gmail.com
    • Port: 995
    • Leave a copy of retrieved messages on server = no check
    • Always use a secure connection = check the box
    • Label incoming message = check the box
    • Archive incoming messages = check the box


Your email will be copied from your d-e.org account to your personal gmail account.  However, it all just go into "All Mail".  Labels (aka folders) will not be copied over. This may take hours depending on how much mail you have, but you don't need to stay logged in.  Mail will transfer even after you logout.


Note that you should check your Spam folder at d-e.org.  As mail is transferred, it will be checked and if Google thinks the message is Spam, it will not be transferred over.


Option 3: Gmail Backup utility (not recommended, use Google Takeout)

"Gmail Backup" is a tool NOT created by Google that will backup all of your email to your computer.  You can then use it to restore your email to your new account.  Labels will be preserved.  Note that this has not been tested thoroughly by D-E Computer Services.

Download any google docs you might want to keep (Use Google Takeout, see above)

  1. Login to google docs / drive and select the checkbox next to a couple of documents
  2. In the More menu which will appear at the top of the page, select "Download..."
  3. Click on the tab that says "all items"
  4. Choose the file format you want to convert the google docs to, and click download.
